Running HR and resourcing in one system

Agencies and software houses usually run two tools: an HR system for people and a scheduler for projects. PeopleMuster puts both on one record per person, so an approved day off, a new starter or a leaver changes the capacity plan with no second edit.

Your HR tool knows who works here, who they report to and how much leave they have left. Your resourcing tool knows who is booked on which client project next week. Both hold a list of the same people, and you keep those lists in step by hand.

That upkeep lands on someone every week. A new developer joins and gets added twice. A leaver keeps a row in the scheduler for a month because only HR was told. Someone moves team, and the two tools disagree on who they report to until a person notices.

Two tools also mean two bills. As of September 2026, BambooHR lists its Core plan at $10 per employee per month and Float lists its Starter plan at $7 per scheduled person per month, each on its own pricing page. PeopleMuster is $3 per person per month, and that one price covers HR, leave, attendance, timesheets, the capacity plan and every other module.

Moving to one system doesn't mean starting from scratch. During setup we load your people, leave types and projects with you, and the CSV importer brings leave balances and projects across in one row each. Your team signs in with a one-time code sent to their work email, so there are no passwords to hand out.

Why one record instead of two

HR and resourcing ask different questions about the same person. HR asks whether they're here, on leave or leaving. Resourcing asks what they're booked on. When those answers sit in two databases, someone has to copy one into the other, and the plan is only as current as the last copy. PeopleMuster keeps HR and project delivery in one database. Approve leave and the days show as L on the capacity grid at once. Add a starter to the directory and they get a row on the grid. Timesheets feed utilisation from the same record. You run one system, so you keep one list.

What is switched on

Directory
One person record with department, role and reporting line, and the capacity grid draws its rows from it.
Leave
Quota-based leave with approvals, where an approved request marks those days on the capacity plan at once.
Resource allocation
Hours per person per day with Under, Partial, Full and Over bands, grouped by people or by projects.
Daily recap and timesheets
Your team logs time per project each day, with approvals and a logging window you set.
Utilization reporting
Utilisation, hours by project and department, and week-over-week trend, built from those same logged hours.
SOPs and checklists
Joining and leaving run as tracked processes, so the person record, the project team and the handover move together.

What the week looks like

  1. Setup

We load your people, leave types and projects with you. The CSV importer brings leave balances and projects across, one row each.

  2. Monday

A new designer starts. HR adds them to the directory, their joining checklist starts, and they already have a row on the capacity grid.

  3. Tuesday

Your delivery lead books the designer onto a client project for the rest of the month, straight on the grid.

  4. Wednesday

A developer's week off is approved. Those five days show as L on the grid, and the planner sees the gap before the client does.

  5. Friday

Everyone logs the week's hours per project, and a manager clears the approvals queue in one pass.

  6. Month end

Utilisation reports show hours by project and department from the same record, posted to your Slack channel for the leadership team.

Questions people ask

Is there software that does HR and resource planning together?

Yes. PeopleMuster runs HR and project delivery in one database: the directory, leave, attendance, timesheets, the capacity plan and utilisation reports all read one record per person. It costs $3 per person per month with every module included.

How does the price compare with an HR tool plus a scheduler?

PeopleMuster is $3 per person per month for everything. For reference, as of September 2026, BambooHR lists Core at $10 per employee per month and Float lists Starter at $7 per scheduled person per month, each billed separately. There's no base fee, no setup fee and no seat minimum on PeopleMuster.

Do we have to switch everything over at once?

You switch in one setup, and we do the loading with you. Your people, leave types and projects go in during setup, and the CSV importer takes leave balances and projects in one row each. Every new customer gets 14 days free with no card, so the team can run a full cycle before the first bill.

Who sees what when HR and delivery share one system?

Your roles decide. PeopleMuster has 64 permissions across five roles, plus any custom roles you add, so a delivery lead can plan hours without opening anyone's HR details. Every change is logged with before and after values.
