Filing meeting transcripts against projects
Call recordings pile up in a folder nobody opens. PeopleMuster pulls each Fireflies meeting in with its transcript and files it on the project it belongs to, so the record of what a client said sits next to the work it's about.
Your team records every client call in Fireflies. After a month you have dozens of transcripts, named by date and by whoever started the recording. Finding what was agreed on one project means scrolling a list sorted by nothing useful.
Project managers end up keeping their own notes anyway. A decision made on a Tuesday call lives in one person's notebook, and when that person is on leave the project runs on memory.
PeopleMuster connects to Fireflies with your API key and a webhook secret. Each new meeting arrives on its own, with the transcript and the duration, and lands on the project it belongs to. A meeting that can't be matched waits in an Unassigned view until someone files it.
Filing takes one action. Open the meeting, choose Move, pick the right project. Missed a call from last quarter? Import by ID brings that one meeting across, and Resync refreshes any meeting whose transcript changed after the call.
Why one record instead of two
A transcript in a recording tool knows who spoke. It doesn't know which client project that call was for, who's staffed on it, or how many hours went in last week. In PeopleMuster the meeting is filed on the same project record that carries the team's logged hours, the capacity plan and the health score. Your project row shows how long ago its last meeting was, right beside the scores. You read the call and the work in one place, because they're one record.
What is switched on
- Meetings
- Meetings import from Fireflies with transcript and duration, and the Unassigned, Move and Import by ID actions keep each one on the right project.
- Meetings
- A filed meeting opens to an overview, action items, detailed notes, participants, meeting analytics and the full transcript.
- Projects
- Each project row shows when its last meeting was, next to its health, tasks and setup scores.
- Daily recap and timesheets
- Hours logged against the same project sit one click from the call where the work was agreed.
- Roles and permissions
- Meeting access is its own permission domain, and risk signals on a meeting are visible to admins only.
- Notifications
- A meeting digest posts to the Slack channel an admin names in settings.
What the week looks like
Setup
An admin adds the Fireflies API key and webhook secret on the integrations screen. Keys are stored in your own database and never shown again in full.
Monday call
Your kickoff with a client ends. Once Fireflies has the transcript, the meeting appears on that client's project with its transcript, duration and participants.
Tuesday
A project manager opens the meeting and reads the action items, without replaying forty minutes of audio.
Wednesday
An internal stand-up comes in with no project attached. It shows under Unassigned, and a lead moves it to the project it covered.
Thursday
A client asks what was agreed back in June. Import by ID brings that older call across, filed on their project.
Friday review
Leadership filters meetings by project and reads the risk signal on each one: a verdict, plus flags such as no client present.
Questions people ask
How do Fireflies transcripts get into PeopleMuster?
Through the Fireflies integration. You add your Fireflies API key and a webhook secret, and every new meeting imports with its transcript and duration. The webhook is HMAC-verified, so only calls signed with your secret are accepted.
What happens to a meeting that isn't linked to a project?
It waits in the Unassigned view. From there a lead opens it, picks Move and files it on the right project in one step, so nothing sits outside a project for long.
Can I bring in a meeting recorded before we connected?
Yes. Import by ID pulls one specific Fireflies meeting into PeopleMuster and files it like any other. Resync refreshes a meeting, or every meeting in the current filter, when the transcript changed later.
Who can read the AI risk signals on a meeting?
Admins only. Signals come from an admin-editable, versioned prompt, and each one is stamped with the prompt version and model that produced it. After a prompt change, you can re-analyse recent meetings in one action.
Does filing meetings cost extra?
No. Meetings is one of every module included in $3 per person per month, with no setup fee and no base fee. The Fireflies subscription itself is billed by Fireflies.
