What is an SOP template?
A template is a reusable list of steps a company writes once, grouped into a category. Running one against a person or a project creates a process: a separate live copy with its own assignee, its own initiator and its own progress. Editing the template later does not rewrite processes already running.
The template and the process are two different objects, and almost every useful property of the feature comes from that separation.
A template is the intention. Eleven steps for onboarding a new starter, written down once so the eleventh is not forgotten on a busy week.
A process is one instance of that intention, attached to a named subject. Onboarding for one specific joiner, with its own progress, sitting beside nine others at different stages.
Progress reads as a count of resolved steps against the total, in the shape one of eleven. A glance tells you how far along something is without opening it.
Two people are recorded on each process, and the distinction is practical. The initiator started it. The assignee is responsible for it. Those are often different people, and a process with no named assignee is the one that stalls.
Templates live in categories, which is what stops a library of fifteen becoming a list nobody reads. One live instance runs fifteen templates in four categories with ten processes active at once.
The model is simple on purpose. Somebody marks a step resolved because they did the thing, and the count moves.
A process already running is not updated by a change to its template. Adding a twelfth step improves every future run and leaves the ten in flight as they were, which is usually right and occasionally surprising.
Write the first template from something you already do badly and repeatedly. Offboarding is the common starting point, because the cost of missing a step there is visible and immediate.
