How to keep an org chart current automatically

An org chart stays current on its own when it's drawn from data you already keep, instead of from a diagram someone has to redraw. PeopleMuster builds the chart from the reports-to field on each person's profile. Change a manager once and the chart redraws, direct-report counts included, in a top-down, horizontal or compact layout.

A chart gets made for an onboarding deck or a board pack. On the day it's exported, every line on it is right.

Every change after that needs a person to remember the diagram exists, open the file and redraw it. Somebody joins, somebody moves team, and within a month the deck is quietly wrong.

Drawing the chart from the reporting line on each profile removes that second job. You edit the person record, which you were going to do anyway, and the chart follows. Group by department and the same data shows structure instead of individual lines.

Standalone chart tools price the diagram on its own. Lucidchart lists its Team plan at $10 per user a month billed annually, and ChartHop Core is $5 per employee a month (vendor pricing pages, checked 24 September 2026). In PeopleMuster, the org chart comes with the directory and every other module for $3 per person per month.

Why one record instead of two

One field on one record draws the chart, sets the approval line and groups every departmental report. Keep it right once and all three stay right. The chart is a live view of data you already maintain for other reasons, so there's no separate document to update.

What is switched on

Org chart
The hierarchy is drawn from reporting lines, with layouts, grouping by department and export.
Directory
Reports-to is a field on the person record, which is the chart's only input.
Roles and permissions
A reorganisation usually changes permissions as well as lines, and the two are set separately.
Activity log
A changed reporting line is a recorded change with before and after values.

What the week looks like

  1. On any change

Update reports-to on the profile. That single field is the whole maintenance job.

  2. Immediately

The chart redraws, and direct-report counts change with it.

  3. When needed

Switch between top-down, horizontal and compact layouts depending on what the chart is for.

  4. For a reorganisation

Group by department to show the structure. Check the activity log to see which lines moved and who moved them.

  5. For a deck

Export the chart. For anything that needs to stay current, share the live view instead.

  6. Monthly

Scan for people with no reporting line set, and give each one a manager so the chart stays complete.

Questions people ask

How do I make an org chart that updates itself?

Draw it from the reporting line on each employee record rather than from a drawing. In PeopleMuster, reports-to is a field on the profile, and the org chart redraws whenever that field changes.

How much upkeep does the chart need?

One field per person. Update reports-to on the profile and the chart redraws, direct-report counts included.

Can the chart show departments instead of people?

Yes. Group by department and the chart shows the structure. Departments come from the same person record that sets the reporting lines.

Can the chart be exported for a board pack?

Yes. Pick a top-down, horizontal or compact layout, group by department if you like, and export. The live view in PeopleMuster keeps updating after the export is taken.
