How to use it

  1. Step 1

    Type each day's clock-in and clock-out as HH:MM on a 24-hour clock, so 17:30 rather than 5:30pm.

  2. Step 2

    Put that day's unpaid break in minutes. A paid break stays at zero, because it's part of the paid time.

  3. Step 3

    For a day off, enter the same time in both boxes, such as 00:00 and 00:00. The tool counts it as a day not worked instead of guessing.

  4. Step 4

    Copy the decimal total onto the sheet you pay from, and keep the H:MM figure for anyone checking against the clock.

Questions people ask

How do I calculate hours on a time card?

Take the clock-out, subtract the clock-in, then subtract any unpaid break. Do that for each day and add the days together. A day from 09:00 to 17:30 with a 30-minute unpaid break is 8 hours.

How do I enter a shift that ends after midnight?

Enter the times exactly as the clock showed them. A clock-out earlier than the clock-in, like 22:00 to 06:00, is read as the next morning. That shift is 8 hours before the break comes off.

Should the total be written in decimal hours or hours and minutes?

Use decimal hours for anything you multiply by a rate, because 15:30 means 15.5 hours, not 15.3. Keep H:MM for comparing against the clock. The calculator prints both, so you never convert by hand.
