Leave balance calculator

Quota leave is simpler than accrual and easier to get wrong in one specific way. Requests sitting unapproved are already spoken for, and a balance that ignores them tells everyone they have days they do not have.

How to use it

  1. Step 1

Work one leave type at a time. Annual, casual and sick each carry their own yearly quota and cannot be pooled.

  2. Step 2

Enter the days allocated for the year, then the days already approved and taken.

  3. Step 3

Enter days requested and still awaiting approval. These stay out of the taken figure and change the second balance.

  4. Step 4

Two balances come back. The first is what the record shows today. The second is what remains if every pending request is approved, and that is the one to plan against.

Questions people ask

Why show a separate balance for pending requests?

Because approvals lag. Somebody with two days left and three days pending is already past the quota. Only the second balance shows that before the approval rather than after it.

How is this different from accrual?

A quota is granted up front for the year. Accrual earns leave gradually, a fraction each month. PeopleMuster uses quotas per type per year, so this page matches the product and the accrual page does not.

What about a leave type with no days allocated?

Enter zero. Unpaid leave typically carries a quota of nothing, and the balance reads zero used of zero rather than failing.
