How to use it

  1. Step 1

    Enter the weekly hours one full-time person works where you are, such as 40 or 37.5. Your contract sets it, so the tool has no default.

  2. Step 2

    Count the people on the full week, then the people on fewer hours.

  3. Step 3

    Add the part-timers' weekly hours together and enter the total. Three people on 20 hours each is 60.

  4. Step 4

    Read FTE next to headcount. The gap between them is how much of the team works part time.

How do you calculate FTE?

Divide the total weekly hours your people work by the hours of one full-time week. A team covering 380 hours on a 40-hour week is 9.5 FTE. Counting full-timers as 1 each and adding part-time hours over the full week gives the same answer.

Is someone on 20 hours a week 0.5 FTE?

Yes, when your full-time week is 40 hours. On a 37.5-hour week the same 20 hours is 0.53 FTE, which is why the full-time figure is an input you set.

What is the difference between FTE and headcount?

Headcount counts people, and FTE counts full-time workloads. Eleven people can be 9.5 FTE. Use headcount for seats and FTE for capacity plans or per-person cost figures.
