Shift duration across a rota

Rota planning needs one number repeated: how long a shift really runs once the break comes off. Multiply that by the occurrences and a pattern becomes a monthly total you can staff against.

Fill in every field to see the result.

How to use it

  1. Step 1

Enter the shift start and end as they appear on the rota.

  2. Step 2

Take off the unpaid break, in minutes, to get the paid length.

  3. Step 3

Set how many times the shift runs in the period you are planning.

  4. Step 4

A night shift crossing midnight is flagged in the result, because that is the pattern staffing plans get wrong.

  5. Step 5

Check the pattern against your local rules on shift length and rest between shifts before you publish the rota.

  6. Step 6

Put the settled pattern into PeopleMuster. It holds named shifts with time windows, assigned per person with a full assignment history.

Questions people ask

How long is a 22:00 to 06:00 shift?

Eight hours on the clock. Take off a 45-minute unpaid break and it is 7 hours 15 minutes of paid time.

Can this build my staff rota?

No. It gives you the hours one pattern produces. Deciding who works which shift, around leave and holidays, is a scheduling job and this is a calculator.

Why is the overnight flag useful?

Because an overnight shift lands in two calendar days, and pay periods, attendance reports and rest-period rules each split it differently.
