Half day leave application
Half day requests generate one predictable reply: "which half?" Naming the hours instead of the half removes it, and tells your team exactly when you are reachable.
Use this for an appointment, a school run or anything that eats part of a day but not the whole of it. Two half days in one week are usually better taken as a full day.
Subject: Half day — [date], [hours away] Hello [manager's name], I would like to take a half day on [date]. I will be away from [start time] to [end time] and working the rest of the day. [meeting line] [reachable line] [your name]
What to put in each blank
- [hours away]
- Put the hours in the subject line. "Half day" alone always gets a reply asking which half.
- [meeting line]
- Name anything booked in those hours and say whether you moved it or need someone to attend.
- [reachable line]
- Say if you can be reached. For a medical appointment, saying you cannot is perfectly normal.
Before you send it
- Check how your workplace counts a half day. Some deduct half a day regardless of the hours, others count the hours worked.
- Move your own meetings before you send the request. Leaving them for your manager is what makes a small ask feel big.
- If you are working the other half from home, say so. Otherwise people assume you are at your desk.
A part-day absence shows against that person's assigned shift window
Questions people ask about this letter
How is a half day usually counted?
Most employers deduct half a day from your balance no matter which hours you take. Some count actual hours instead, so check your policy.
Can I take two half days instead of one full day?
Often yes, though some teams discourage it because it disrupts two days rather than one. Ask if you are unsure.
Do I need to make the hours up?
Not if the time is deducted from your leave balance. Making the hours up as well would mean paying for the same absence twice.
