Bank account letter for salary transfer

Bank letters for a new joiner fail on small things: the branch is not named, the account type is missing, or the spelling does not match the identity document. Fix those three and the account opens.

Write this when someone joins and needs an account before their first transfer, or when an existing employee moves their account. Send it with the joiner, not ahead of them.

What to put in each blank

[NAME ON ID]
Copy it character for character from the document. A middle name dropped here stops the account.
[ACCOUNT TYPE]
Ask the branch what they call it. Salary accounts have different names at different banks.
[BRANCH NAME AND ADDRESS]
Name one branch. A letter addressed to the bank in general gets passed around.
[OUR ACCOUNT REFERENCE]
Give whatever reference your finance team uses for outgoing transfers. Never a full account number in an open letter.

Name the person who will chase it. A shared inbox means nobody chases it.

Before you send it

  • Check the spelling against the identity document, not against your own directory. Directories carry nicknames.
  • Hand the letter to the employee rather than posting it. Branches want the person and the letter together.
  • Ask what else the branch needs before you print. Photographs, a second document and a specimen signature are common additions.
  • Requirements for opening an account are set by the bank and by local rules. Nothing here says what any branch must accept.

Questions people ask about this letter

Does the letter need to mention the salary amount?

Usually not. Most branches want the employment confirmed and the transfer source named. If a figure is required, the branch will ask, and a salary certificate is the right document for it.

Can one letter cover several joiners?

Some branches accept a list, most prefer one letter per person. Ask first, because a rejected batch letter costs everyone a second trip.

What if the employee already has an account at that bank?

Then no letter is needed to open one. They may still need a short note asking for the existing account to be converted, which the branch will describe.
