Attendance warning letter

Warning letters fail for one reason more than any other: they describe a feeling instead of a record. A usable one lists dates, states the standard, and sets a date when the matter is looked at again.

Questions people ask about this letter

Does the employee have to sign it?

Signature acknowledges receipt, not agreement, and the letter should say so. If somebody declines to sign, note the refusal, the date and a witness.

How long should a warning stay on file?

Set by your procedure and by local law. Write the expiry date into the letter, because an undated notice tends to live forever.

Can attendance data alone justify a warning?

Rarely on its own. Data shows a pattern; a conversation finds the cause. A notice issued without the conversation usually collapses at the first appeal.
