What is PSA software?
Professional services automation (PSA) software is the system a service firm uses to run client work: projects, timesheets, resource scheduling and utilisation, often with billing on top. It exists because agencies and consultancies sell hours, so the people doing the work and the work itself have to be planned together.
A PSA answers the questions a delivery lead asks every Monday. Who is free next week? Which project is burning more hours than it was sold for? How much of the team's time went to client work last month?
Vendors use the label for different bundles. Kantata calls its product a "Professional Services Automation Platform" (kantata.com, checked 2026-09-24). Keka sells "Projects & TimeSheets (PSA)" as one tab of a product that also carries HR (keka.com, checked September 2026). So when two vendors both say PSA, ask which modules they mean.
The part most firms feel first is the join with HR. A capacity plan is only right if it knows who is on leave. A utilisation figure is only fair if it knows who was off sick. When your HR system and your PSA are separate products, somebody copies leave from one into the other, and the plan drifts between copies.
That's why the real buying question is rarely "do we need a PSA?" It's whether your people data and your project data live in one database or two.
