What is a leave management system?
A leave management system is software that records each person's leave allowance by type, takes leave requests, routes them for approval and keeps the remaining balance current. It replaces the spreadsheet, the email thread and the manager's memory with one record that everyone reads from.
Four records sit inside every leave system, whatever the vendor calls them. Leave types, such as annual, sick or casual. A yearly allowance for each type. Each request, with its dates and status. The balance that falls out of the other three.
Most teams arrive here from a spreadsheet. The spreadsheet works until two people edit it in the same week, or until somebody asks how many sick days a department took this year. Then you're counting cells by hand.
A vacation tracker usually covers the calendar view: who is off and when. A leave management system goes further. It holds the policy side as well, so a request for more days than the allowance is visible before anyone approves it.
What you want from one is short. Balances people can check without asking HR. Approvals that leave a trail. A view of who is off today and next week, so cover gets arranged before the day, not on it.
