Monthly work schedule template

Most people keep the same shift for weeks at a time, so a monthly work schedule works best as a list of assignments rather than 31 filled-in boxes. Part 1 says who is on which shift and since when. Part 2 shows the month week by week. Part 3 records every change with a date, which is the part you'll want in three months' time.

Choose the monthly layout when shifts are stable and change a few times a month, not every day. Teams on a fixed morning or evening pattern fit it well. If people move between shifts inside the same week, the weekly work schedule gives each day its own cell.

What to put in each blank

[HOLIDAY DATES]
List the company holidays that fall in the month. Nobody gets scheduled on them unless you say so in Part 3.
[SHIFT WINDOW]
Write the start and end on a 24-hour clock, like 12:00 to 21:00.
[START DATE]
Enter the day the assignment began, even if that was last month. The start date is what later questions turn on.
[END DATE]
Fill it only for a temporary move, such as a four-week cover. Leave Ongoing for everything else.
[DATES OFF]
Add approved leave and agreed days off, as dates. Planned absence belongs on the schedule, not in someone's memory.
[REASON]
Keep it to a few words: cover, request, training, new starter. Short reasons can be counted later.
[ASSIGNER]
Name the manager who made or approved the assignment.

Before you send it

  • Carry Part 1 forward into next month's sheet and update only what changed. A clean copy each month loses the start dates.
  • Close Part 3 on the last day and keep the sheet. A year of monthly change logs shows which shifts people keep asking to leave.
  • Put leave in Part 2 before you publish. You'll see a week with two people off on the same shift while there's still time to move one.
  • Keep temporary moves visible with an end date. A cover that quietly becomes permanent is how shift fairness disputes start.

Is a monthly work schedule better than a weekly one?

It suits teams whose shifts hold steady for weeks. Teams that change shifts inside a week need the weekly view. Many teams publish the monthly plan and keep a weekly sheet for the week in front of them.

How do I show a shift change in the middle of the month?

Add a line to Part 3 with the date it takes effect, then update Part 2 from that week on. Leave Part 1 showing the old assignment with an end date, and add a new line for the new one.

When should a monthly schedule go out?

Aim for at least a week before the month starts, and earlier over holiday periods. People book travel and appointments around it, and a late monthly plan gets rewritten by requests.
